PRESIDENT

  • Secure goalie subs as needed

    • Need 2 goalies for a scrimmage, 1 goalie for a game vs. external opponent

    Secure coach(es) for practices

    Assign players to teams and/or lines for scrimmages and games

    Keep BenchApp schedule updated

    • Monthly, or whenever schedule changes occur

    • Important: make a separate “season” on BA for each quarter - this is important for keeping track of who has paid for a season pass and who needs to pay drop-in

      • “Winter” = Jan - Mar

      • “Spring” = Apr - Jun

      • “Summer” = Jul - Sep

      • “Fall” = Oct - Dec

  • Obtain Certificate of Insurance from USA Hockey Central District Risk Manager, and send to KCMO Parks & Rec so that annual contract can be renewed

    • Each year in August

  • Review and sign annual contract with KCMO

    • Each year in late August / September

  • Schedule board meetings

    • Quarterly, near the end of each session

  • Schedule yearly election (late May) and work with Communications Director to advertise it (including instructions for how to run for a board position) at least a month in advance

  • File 990-N (taxes)

    • Yearly: deadline = April 15th

  • Check league e-mail account regularly (kcwomenshockey@gmail.com) and respond to inquiries

VICE-PRESIDENT

  • Secure referee for scrimmages

  • Organize MWAHA compliance

  • Record actual attendance at events (or delegate this task to someone if you can’t make it)

    • Keep a running spreadsheet with attendance stats: work with Registrar to keep the player lists synced

    • Pass attendance records to Treasurer who will ensure that everyone who attended was assigned a drop-in fee (if they don’t have a season pass)

REGISTRAR

  • Collect and organize information for all KCWHL players

  • Ensure all active players are up-to-date with USA Hockey registration

    • Frequency: 1x/year plus when a new player joins (they are required to register before their 2nd time skating with us)

  • Purge roster as needed

    • Check attendance records kept by Asst. Director

    • Contact inactive players (no participation in the last year)

TREASURER

  • Add drop-in fees to players’ accounts in BenchApp

  • Keep up with overdue drop-in fees

  • Pay ice bills

COMMUNICATIONS

  • Check league social media and e-mail accounts regularly and respond to inquiries

  • Distribute organization-wide emails/announcements as requested by other officers

    • Frequency: as needed

  • Maintain an engaging social media presence (Facebook & Instagram)

    • Weekly: minimum 2 (?) original posts per week

    • Advertise upcoming events

  • Keep website updated, including translating BenchApp schedule to Squarespace

    Keep other officers in the loop about external communications (e.g., potential competition, community partners)

    • Frequency: as needed
